Information we collect
When you contact Simon
If you call or email, we may receive information such as your name, contact details, travel interests, preferred dates, budget, group details and anything else you choose to include.
If you decide to book, more information may be needed to arrange and service your travel. This could include identification, passport details, payment information, dietary needs, accessibility needs or other details relevant to the trip. Simon will explain what is needed and how it will be handled before collecting sensitive information.
Please don’t send passport, payment or other highly sensitive information by ordinary email unless Simon has specifically asked you to use that channel.
When you visit the website
The website’s hosting and security providers process technical information needed to deliver and protect the site. This can include your IP address, browser and device information, the pages you request, approximate location, date and time, and security logs.
Some offer photos load directly from Travel Best Bets and from Unsplash, a photo library. When your browser requests those photos, those services receive the same kind of standard technical information.
Analytics
This website does not currently use Google Analytics or any other visitor analytics. If we add analytics in future, we will update this notice first and give you a clear choice before it runs. It will never record the contents of your emails or phone calls.
How we use information
We use personal information to:
- respond to questions and communicate with you;
- understand your travel preferences;
- research, plan, book and support travel you request;
- coordinate with Travel Best Bets and relevant travel suppliers;
- operate, protect and improve the website; and
- meet legal, regulatory, accounting and fraud-prevention obligations.
We will not use personal information for a new purpose without explaining that purpose and obtaining consent when required.
When information is shared
Information may be shared only as needed with:
- Travel Best Bets, through whose network and licence Simon James Travel operates;
- airlines, hotels, tour operators, cruise lines, insurers and other suppliers involved in a trip you request;
- technology providers that host, secure or support the website and communications; and
- government, law-enforcement or regulatory bodies when disclosure is required or permitted by law.
Some providers may process information outside British Columbia or Canada. Information processed in another jurisdiction may be subject to that jurisdiction’s laws.
Consent and your choices
By contacting Simon and providing information needed for a travel enquiry, you consent to its use for that enquiry and any trip you ask Simon to arrange. Any optional use will be presented to you separately and clearly.
You may withdraw consent for an optional use at any time, subject to legal or contractual limits. Some records may still need to be kept for legal, regulatory or booking obligations.
Cookies
The public website does not set analytics or advertising cookies. The private Travel Tips Studio, used only by Simon James Travel, uses a necessary sign-in cookie.
Retention
We keep personal information only as long as reasonably needed for the purpose it was collected for, and for any legal, regulatory, accounting or booking obligations. Retention periods may differ depending on the type of record and whether Travel Best Bets or a travel supplier is responsible for it. When information is no longer needed, it is securely deleted or made anonymous.
Safeguards
Simon James Travel uses reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information. No email, website or storage system can be guaranteed completely secure, so sensitive travel and payment information should be exchanged only through a method agreed with Simon.
Access, correction and questions
You may ask to see the personal information held about you, request a correction, or ask how it has been used or shared. In some circumstances, the law may limit access or require certain records to be kept.
Send a request to Simon@simonjamestravel.com with the subject line “Privacy request.” We may need to confirm your identity before completing it.
If a concern isn’t resolved, you may contact the Office of the Information and Privacy Commissioner for British Columbia.
Changes to this notice
This notice may be updated when the website, services or privacy practices change. The effective date at the top shows when it was last revised. If a significant change requires new consent, we will ask for it before the change takes effect.
